Privacy Policy
Covers the mobile app and the Telegram bot — they share one account and one API. Written to meet GDPR — the GDPR compliance page has the legal detail. See the Terms of Use for the rules of using the service.
What we collect, and why
We collect the minimum needed to run the app and keep your progress. Each row below is a lawful basis under GDPR: account and settings data is necessary to perform our contract with you; billing events are necessary for our legitimate interest in fraud prevention and legal compliance.
| Data | Stored where | Kept until |
|---|---|---|
| Username / email, password hash, Google account ID | Our database (EU) | Account deletion |
| Recordings of your takes | Object storage (EU), 1-hour signed links only | Clear my history, or account deletion |
| Scores, transcripts, flagged sounds, per-sound stats | Our database (EU) | Clear my history, or account deletion |
| Settings (accent, playback speed, auto-stop, noise suppression, theme) | Our database (EU) | Account deletion |
| Daily-limit counter (date, takes used) | Our database (EU) | Account deletion |
| Subscription status and Google purchase token | Our database (EU) | Account deletion |
| Billing notifications from Google | Our database (EU) | 90 days |
Your recordings, specifically
They're kept in your history
We use your recordings for two things only: scoring your pronunciation, and your history, so you can play a take back next to the native audio and hear the difference. A recording is kept for as long as your account exists, or until you delete it. They are never used to train AI models or for any other purpose. Scoring is done by machine — no person listens.
Where they live
Recordings sit in object storage in the EU (Hetzner, Finland region). Each is reachable only by you, through a link that expires after 1 hour, and is deleted according to the retention limits in section 4 below.
Deleting them
Settings → Clear my history erases every stored recording, together with your scores and statistics, straight away. Deleting your account removes them along with everything else.
How long we keep data
We do not keep your data indefinitely. Everything in section 1 is deleted when you clear your history or delete your account, and we also apply these limits on our own:
Recordings that aren't stored
A take whose upload to storage fails lives only in memory for the length of scoring — 3 minutes at most — then is gone.
Recordings in your history
Kept until you clear your history, delete your account, or your account is deleted for inactivity below.
History and statistics
Kept until you clear your history or delete your account.
Billing notification logs
Kept 90 days, then deleted automatically.
If an account has had no activity for 24 consecutive months, we may email you a warning and, absent a response within 30 days, delete the account and everything tied to it under section 1. You can prevent this simply by signing in.
Security
In transit
All traffic between the app and our servers is encrypted with TLS.
At rest
Passwords are stored as hashes, never in plain text; saved recordings sit in access-controlled storage reachable only through short-lived signed links.
If something goes wrong
If a breach affects your data, we will notify you in the app and by email within 72 hours of discovering it.
Your rights under GDPR
If you're in the EU or UK, you can ask us to:
Reach us at the address below for any of these. If you're unhappy with how we've handled a request, you can complain to your local data protection authority — see the GDPR compliance page for how and where.
Deleting your data yourself
Clear my history
Settings → Clear my history removes your saved takes, sound statistics, and streak, including any saved recordings, straight away. Your account itself stays active.
Delete your account
In the app, Settings → Delete account removes your account, credentials, history, recordings, settings, and subscription links immediately. Without the app, email us with the subject "Account deletion" and we do the same within 30 days and confirm by email — see Delete your account for details. Support correspondence is kept separately for up to 12 months for quality and legal purposes.
Children
HolosAccent is not intended for children under 16 — or under the lower age your country sets for information-society services, where it sets one — and we do not knowingly collect their data. If you believe a child holds an account, write to support@holosaccent.app and we will delete it.
Changes to this policy
Material changes are announced in the app before they take effect. The date at the bottom of this page always reflects the version in force.
